What should I confirm with the office?

  • The fax number and department for this exact purpose
  • The intended clinician or staff member’s name
  • Whether a release form, signature, date of birth, chart number, or referral form is required
  • Whether there is a page limit or preferred file order
  • How and when to confirm that staff matched the fax to the patient record

What are the steps?

  1. 1Collect only the pages the office requested and confirm that you are authorized to send them.
  2. 2Verify the office fax number using an official source or staff member; do not rely only on an old web directory.
  3. 3Create a minimal cover sheet with the recipient, sender, callback, purpose, and total page count.
  4. 4Check every page for readability and accidental information about another person.
  5. 5Send once, keep the delivery result, and follow up with the office through its normal phone or portal channel.

Is any online fax automatically HIPAA compliant?

No. Compliance depends on the sender, recipient, purpose, safeguards, contracts, configuration, and the complete data path. FaxFor99 does not currently claim HIPAA compliance or offer a Business Associate Agreement.

Why verify the number immediately before sending?

HHS identifies confirming an unfamiliar fax number with the intended recipient as an example of a reasonable safeguard. A single wrong digit can disclose records to the wrong destination.
